One of the more difficult tasks of the enrollment process is keeping track of what needs to happen next. An enrollment specialist will typically be responsible for tracking hundreds and possibly thousands of pieces of information and agreements. Many of these components are delivered to outside entities (like payers and providers) and require follow-up if not handled promptly or properly. Simply put, it is next to impossible for a manual process or simple PC database solution to efficiently and effectively manage this process.

Enroll-Link has solved this problem by implementing a complex workflow automation engine into the heart of the Enroll-Link system. This engine allows a vendor to implement his unique enrollment methodology into Enroll-Link. Detailed tasks and alerts can be created that assist the enrollment specialist by indicating what should happen next and alerting when something should have happened, but did not. In addition, Enroll-Link can implement different types of workflow for different types of accounts.

A key difference between Enroll-Link and Client Tracking/CRM systems is that the workflow in Enroll-Link is tightly coupled with the complete account data model. Enroll-Link is able to create workflow rules at multiple levels of information: Account level, Provider Level, Provider/Location Level, and Provider/Location/Payer level. For example, a rule can be created that alerts an enrollment specialist if a payer hasn’t completed the enrollment for a specific Provider/Location/Payer after a given period of time. If multiple agreements are overdue then, the enrollment specialist will get an alert for each one. This assists the enrollment specialist in not just knowing that an account is incomplete, but pinpoints exactly what pieces of the account puzzle are incomplete.

In addition, Enroll-Link’s workflow permits reactive interaction between levels. For example a rule can be created that submits a message to an enrollment specialist when all the individual Provider/Location/Payer enrollments for a specific Provider/Location have been completed.

Many Client Tracking/CRM systems have some automated workflow capability. Typically, the workflow is applicable only to a single level of data, like a new lead or account. Although workflow customization is sometimes possible, it would be extremely unlikely that a typical Client Tracking/CRM system could be customized to support the multiple level capabilities of Enroll-Link.

Also note that many Client Tracking/CRM systems do not support automated workflow. A typical Client Tracking/CRM system allows a user to create to-do tasks and follow ups, but these are all manual entries. In automated workflow, the system will generate to-do tasks and alerts based on rules established up-front. Most spreadsheet and PC database solutions will not have automated workflow.
